We only collect personal information that is voluntarily submitted through our verified forms:
- Contact Inquiries: Full name, email address, telephone number, and message text submitted via the Contact Us desk.
- Membership & Volunteer Registrations: Full name, guardian name (optional), contact phone, email, residential address, sport discipline, and role category.
- Players' Voice Grievance Submissions: Complainant name, verified contact information, sporting discipline, federation or association involved, and detailed factual statements concerning sporting grievances.
3. Confidential Handling of Athlete Grievances
Athlete grievances submitted to our Players' Voice portal are classified as sensitive and strictly confidential. We maintain internal role-based access restrictions. Your personal identity, complaint specifics, and communication records are never disclosed publicly or provided to sports federations without your express prior authorization.
4. Use of Submitted Information
Information gathered is used exclusively for legitimate non-profit and sports welfare purposes:
- Reviewing and processing athlete grievances, RTI drafting, and legal documentation.
- Coordinating membership registrations, volunteer assignments, and sports awareness tours.
- Responding to citizen inquiries and ground improvement requests.
- Preventing fraudulent submissions, spam, and unauthorized portal tampering.
5. Data Retention & Security Controls
We employ modern security safeguards including parameter-binding PDO statements, CSRF protection, session fixation mitigation, and strict password hashing via native algorithms (`PASSWORD_DEFAULT`). Server logs and database access credentials are protected through secure server-side permissions and excluded from public web roots.
